Strategy & Operations Coordinator

Purpose of Position

Stateside Associates is seeking a highly organized and proactive professional to serve as a Strategy and Operations Coordinator for its growing issue management consulting team. This role serves as a critical support and shared resource for senior leadership, providing high-level executive support while managing substantive client deliverables. The ideal candidate is a self-starter capable of navigating a fast-paced environment, moving seamlessly between long-term strategic projects and high-priority, time-sensitive logistical requests. This position is essential for maintaining the bandwidth of the Political team and ensuring a high standard of service for internal and external stakeholders.

Essential Duties:

  • Executive Assistant to the Senior Vice President & Principal: Responsibilities include managing the principal’s calendar, prioritizing calls and generating daily summaries and weekly briefing emails for important action items, booking travel, and providing any other logistical support as needed. Demonstrated ability to handle confidential information related to the Principal’s responsibilities is essential.
  • Client Research & Deliverables: Handling of external-facing client deliverables, including but not limited to detailed analysis of election results, customized memos for client event attendance, audits of corporate political donation histories, and organization of clients’ yearly event calendars and budgets.
  • Organizational Liaison: Maintain central repositories of client data and project records while acting as a liaison between the political team and other internal departments.
  • Financial Administration: Manage the reimbursement process for client travel, determine billable splits for various events, and complete executive expense reports with meticulous documentation.
  • Travel & On-Site Events Support: Attend 3-5 conferences annually to provide on-site support, catalogue priority engagement targets, and advance receptions. This will include scouting venues for client dinners and receptions, procuring and managing on-site assets, liaising with venue staff, and providing any other logistical assistance needed to ensure a seamless experience. Will also be expected to attend relevant policy sessions and take notes for interested clients as needed. Finally, will be asked to coordinate logistics for events hosted at Stateside offices, including catering, room reservation, security logistics, and other related tasks.

 

Knowledge, Skills, and Abilities:

  • Ability to appropriately prioritize a large number of concurrent tasks with overlapping deadlines and different originators
  • Adaptability to urgent client and principal requests, and ability to maintain a meticulous attention to detail while under pressure
  • Capability to rapidly generate grammatically sound emails, memos, and other written deliverables
  • Comfort interacting with and reporting to a diverse range of managers, senior corporate executives, and elected officials
  • Capacity to participate in senior-level meetings and handle confidential information appropriately
  • Openness to assuming increased responsibilities and initiative to generate new ideas to support the management team and clients
  • Interest in current affairs and the workings of state government
  • Proficiency with Microsoft Office and Google Drive applications
